POSITION:                    Facilities & Receiving Operations Coordinator  (260 Days)

                                      $18.27/hr –40 hrs/wk

REQUIREMENTS:      Act 24 Arrest/Conviction Certification; Act 34 Criminal Clearance; Act 151 Child Line Clearance; Act 114 FBI Fingerprinting Security Clearances; Act 168 Sexual Misconduct/Abuse Disclosure Release and SafeSchools Training

 

Qualifications:                     

     1. High School diploma or equivalent.

  1. Knowledge of facilities maintenance practices and procedures.

    3. Experience with the educational environment is considered a benefit.

 

    4. Experience in the areas of office management, accounting, finance and/or budgeting preferred.

 

  1. Experience with inventory and receiving duties, which can include unloading and organizing deliveries, as well as making deliveries as needed.

 

 

Position Goal:   Working with Director of Facilities, Facilities Manager, Maintenance and Receiving staff. Responsible for office management, inventory control, receiving, deliveries and district vehicle support needs.

 

Reports To: Director of Facilities

 

PERFORMANCE RESPONSIBILITIES 

  1. Responsible for Office Management of Facilities and Receiving Department.
  2. Schedule appointments, meetings and conferences.
  3. Organize and maintain business like office (i.e. filing, faxing, computer operation, end of year, beginning of year procedures and daily procedures, website updates)
  4. Prepare and maintain building use schedules, facility use forms, supply inventory tracking, equipment data, inspection reports and ordering as required. (FMX program).
  5. Manage district assets related to the department.
  6. Manage internal supply and mail deliveries.
  7. Manage district shredding program.
  8. List and sell surplus items (Municibid).
  9. Manage US mail postage and meter (supplies and financial needs).
  10. Create shipping documents as needed (UPS/FedEx labels and such).
  11. Receptionist duties for facility/warehouse, greet and assist visitors, vendors, staff, etc.
  12. Data Entry for utility tracking (EnergyStar program).
  13. P-Card/Visa and other account reconciliations.
  14. Payment of all invoices in a timely manner (includes but is not limited to general fund, capital reserve, and capital projects).
  15. Order supplies as requested (office, custodial, maintenance, etc.).
  16. Assist with inventory and maintaining Curriculum Resource Room.
  17. Assists with Shipping and Receiving (may involve unloading, logging and organizing parcels).
  18. Assists with district vehicles (refueling, inspections, pick up/drop off logistics).
  19. Assists with special delivery requests (may need to visit various district locations).
  20. Prepare and submit reports and other documents as required.
  21. Attend meetings and provide input as necessary.
  22. Attend professional development workshops and conferences as necessary.
  23. Assume any other responsibilities as assigned by the Director of Facilities or Facilities Manager.

POSITION SPECIFICATIONS

 

Terms of Employment:         12 month, 260 days/year

 

School Year Work                 Monday – Friday, 8 hours a day (40 hours per week)

Schedule                                (7:00 am to 3:30 pm with 30-minute lunch)

 

Summer Work Schedule      Monday – Thursday, 10 hours a day (40 hours per week)

                                            (6:30 am to 4:15 pm with 30-minute lunch)

 

Job Classification                 Support Staff – Maintenance

 

Physical Demands                Lift and carry - up to 30 pounds.

                                             Prolonged periods of sitting and computer keyboard work. Ability to:

 

Sensory Abilities   Visual acuity to read correspondence, reports and a computer screen. Auditory acuity to be able to effectively use standard telephone, listen to people and greet visitors. Ability to speak clearly and distinctly.

 

Work Environment  Ability to work in an office environment, classroom, and meeting/conference area, and warehouse environment.

 

Temperament    Maintain confidentiality of data and information as required by State and Federal Regulations.

Equipment Required    Position holder must have and maintain a smart cell phone at their own expense for contact by CASD staff during work and non-work hours.

 

License  Must possess a valid Pennsylvania driver’s license.

 

Clearances  Must possess current, valid Act 34, Act 114, and Act 151 clearances.

 

Other Requirements    Must obtain a certificate of medical examination as well as a tuberculosis test as required under Chapter 14 of the Public-School Code, 24 P.S. §§14-1416, 14-1418; 22 Pa Code §49.12(b) (regarding education); and 28 Pa Code §23.44 (regarding health and safety).

 

Comments   The position may require the performance of other duties related to the essential functions as assigned. The CASD may revise the position description as tasks are analyzed and modified.
